This Privacy Policy explains how Wellspace (“Wellspace,” “we,” “us,” or “our”) collects, uses, and handles information when you use the Wellspace mobile application, website, and related services (the “Service”).

Wellspace is a corporate wellbeing platform that supports fitness activities, step competitions and challenges, leaderboards, private company communities, fitness-centre check-ins, and wellbeing insights for organizations.

1. Information We Collect

Depending on the features you use, we may process the following information:

• Account and profile information: such as your name, email address, account details, and other information requested when your account is created or managed.
• Organization information: information connected with the employer, company, or other organization through which you access Wellspace.
• Health and fitness data: step counts and related fitness metrics obtained, with your permission, from sources such as Apple Health and Health Connect.
• Location data: location information used for features such as personalized recommendations and fitness-centre access or check-ins.
• Device and app information: device-related information used to operate, monitor, and improve the Service.
• Activity and engagement information: information related to check-ins, challenge participation, step totals, leaderboard activity, interests, ratings, and subscription freeze history where applicable.
• User content: content you choose to post, upload, or share through Wellspace, including messages, achievements, images, and community posts.

2. How We Use Information

We use information to provide and operate Wellspace, including to:

• Create, maintain, and secure user accounts and organization access.
• Provide step tracking, challenges, leaderboards, and wellbeing progress features.
• Enable fitness-centre access and check-in functionality.
• Provide location-based or personalized wellbeing features.
• Operate private company communities and display user-generated content.
• Send service notifications and relevant company or activity updates.
• Monitor app reliability, crashes, and performance.
• Support subscription-related functionality where applicable.
• Analyze engagement and improve the Service.

3. Health Connect and Apple Health

Wellspace may request permission to access step-count information and related fitness metrics from Apple Health or Health Connect. This access is used to provide activity tracking, progress, challenge, and leaderboard features within Wellspace.

Health and fitness information is accessed only after you grant the relevant permission. You can withdraw health-data permissions through your device settings. If you withdraw permission, features that depend on that information may no longer work as intended.

Health and fitness information provided through Wellspace is for general informational and motivational purposes and is not intended as medical advice, diagnosis, or treatment.

4. Location Permissions

Wellspace may use location information for features such as nearby wellness services, personalized recommendations, and fitness-centre access or check-ins. You may grant or withdraw location permission through your device settings. Disabling location access may limit features that depend on your location.

5. Information Shared With Your Organization

If you use Wellspace through your employer or another organization, that organization may manage your access and configure certain features, challenges, or community settings.

Wellspace may provide organization administrators with aggregated and de-identified engagement insights, such as participation levels and team wellbeing trends. Individual personal information is handled in accordance with this Privacy Policy.

6. Third-Party Services

Wellspace integrates with or relies on third-party services to provide certain functions. These may include:

• Apple Health and Health Connect for step data, with your permission.
• Firebase for notifications and related app functionality.
• Sentry for crash reporting and performance monitoring.
• App stores or other payment platforms for transactions where a paid subscription is purchased through those services.

Your use of third-party services may also be subject to their own terms and privacy policies.

7. User Content

Wellspace may allow users to share achievements, images, messages, and community posts in private community spaces. You remain responsible for the content you choose to upload or share. We may host, store, display, and distribute that content as needed to operate and improve the Service.

8. Data Retention and Account Deletion

You may stop using Wellspace at any time and may delete your account from within the app, subject to any active subscription or other applicable account conditions.

When an account is deleted, personally identifiable information associated with that account is removed in accordance with our account-deletion process. Certain information may be retained in de-identified form for financial auditing and business-analysis purposes, including information such as feedback, ratings, check-ins, step totals, interests, and freeze history.

9. Your Choices and Permissions

You can control certain information through your account and device settings, including:

• Health-data permissions.
• Location permissions.
• Notification permissions.
• Account deletion, subject to applicable account conditions.

10. Children’s Privacy

Wellspace is not directed to children under 18, and we do not knowingly collect personal information from children under 18. Users must be at least 18 years old to use the Service.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When material changes are made, we may provide notice through the app or website and update the “Last updated” date shown at the top of this page.
